Cloud Subscription or Licensed POS Software? Data, Cost and Trust (2026)
A cloud subscription POS keeps the software and your data on the provider's servers and gives you the right to use it for a yearly or monthly fee; a licensed (local) POS is bought with a one-time license fee, runs on a computer at your venue, and the data stays there. Both models work. The difference is who carries the risk: with the cloud you rely on the provider, with a local program you carry backups, updates and hardware yourself.
Restaurant and cafe owners usually hesitate about the cloud for five reasons: losing data, the vendor shutting down, someone else holding the data, the internet going down, and paying every year. Below we answer each one honestly, and we do not hide the real strengths of licensed software.
This page focuses on trust and cost. To see what the cashier does when the internet drops across the three architectures, read cloud, local and hybrid POS and POS that works without internet. If you are not sure what an adisyon (the restaurant bill record) is, start with what is an adisyon.

Is something missing or wrong?
Subscription (cloud) and licensed (local) side by side
| Topic | Subscription (cloud) | Licensed (local) |
|---|---|---|
| Payment model | Yearly or monthly subscription; cost is predictable. | One-time license fee; support, update and hardware costs may follow. |
| Upfront cost | Low; the payment is spread across the year. | High; license and often hardware are paid up front. |
| Updates and regulatory changes | The provider does it server-side; no extra fee if included in the subscription. | Often charged separately or delivered with a service visit. |
| Who owns the backup | The provider; automatic backups are taken server-side. | You do; disk failure, theft, fire and ransomware are your risk. |
| If the cashier computer breaks | Data stays in the cloud; continue from another device. | Without a backup the data is gone; with one, you still have to migrate to a new computer. |
| When the internet drops | Sales are affected in a browser-only cloud program; a hybrid program with an app on the cashier keeps selling. | Sales continue; the data is on the local computer, so no internet is needed. |
| Remote access | Built in; open the panel from anywhere. | Needs extra setup and security configuration. |
| Data export | Limited to the formats the provider offers; ask before you buy. | Easy to reach because the data is yours; format depends on the software. |
| If the vendor stops supporting it | The service stops; the files you exported remain. | The program keeps running; updates, support and regulatory compliance stop. |
Licensed software has three real advantages: you pay once, sales continue when the internet is down, and the data physically sits in your venue. If those matter most to you, take the licensed model seriously; just settle before buying who is responsible for backups and updates.
5 common fears about the cloud, and answers
1. Will I lose my data? In the cloud your data is not tied to the disk of one computer; if the cashier PC breaks, is stolen or burns, the records remain in the cloud. The provider takes backups server-side. With a local program the same safety depends on you taking regular backups and keeping them away from the computer. In either model the question is the same: who takes the backup, how often, and where is it kept?
2. What if the vendor suddenly closes? The risk exists in both models. If the vendor of a licensed program closes, the program keeps running but updates, support and regulatory adaptation stop; when tax or cash-register rules change, your program ages. If a cloud provider closes, the service stops. In both cases what protects you is exporting your data in advance. Ask every vendor: which data can I get, in which format (Excel, CSV)? Where does the data live? What is the backup policy? What happens to my data when the contract ends, and is it in writing? Genu puts the answers in writing in its Terms of Service: if Genu decides to discontinue the service entirely, it notifies your registered email at least 90 days in advance, the service continues during that period and you export your data as Excel and CSV. If your subscription ends, the export pages (accounting, products, audit logs, timesheets) stay open for 30 days. The infrastructure is a SOC 2 Type II certified provider with daily automatic backups.
3. Is my data in someone else's hands? In the cloud the data sits on the provider's infrastructure, that is true. What matters is where, how it is protected and what the written policy says. At Genu the data is held in a European Union (Ireland) data center, transmission is encrypted (TLS), card numbers and CVV are not stored, and the 72-hour breach notification duty under the Turkish data protection law (KVKK) is written in the privacy policy.
4. What if the internet goes down? In a browser-only cloud program sales are affected; that is a real weakness. In a hybrid program with an app installed on the cashier, the cashier keeps working locally. With Genu Desktop (Pro plan), when the internet drops the cashier keeps taking new orders, payments, closing bills and running end of day, prints receipts, and syncs to the cloud in order when the connection returns. During an outage the waiter phone and kitchen display depend on the cloud, so orders are entered at the cashier. Details: cloud, local and hybrid POS.
5. I don't want to pay every year. A fair preference. But a one-time license also accumulates items over the years: update and support fees, a backup disk or service, computer replacement, setup and migration. The right comparison looks at the three-year total, not the first invoice; the cost section below shows how.
How your data is protected at Genu
Genu is a cloud-based POS, cashier, kitchen display and QR menu platform; panels open in the browser. On the Pro plan, Genu Desktop is installed on the cashier computer. Today the data protection side includes:
- Infrastructure: data is held at a SOC 2 Type II certified infrastructure provider, in a data center in the European Union (Ireland).
- Backups: a daily automatic backup of the database is taken server-side.
- Transmission: all data travels over encrypted connections (TLS); card numbers and CVV are not stored at Genu.
- If the cashier computer breaks: the data is in the cloud, so you continue from another computer or tablet in the browser.
- Offline cashier: Genu Desktop runs an integrity check on its local database at startup, takes a consistent local backup once a day and at end of day (3 copies), and restores from the latest local backup if corruption occurs.
- Export: products export to Excel and import in bulk from Excel; accounting export (Pro) provides sales, bill details, expenses and ledger movements as Excel (.xlsx) and CSV, in a format your accountant can import; audit logs export as CSV and timesheets as Excel.
- Contractual safeguard: if Genu discontinues the service entirely it gives at least 90 days' notice and you export your data during that period; if your subscription ends, the export pages stay open for 30 days. Both are written in the Terms of Service.
- Audit trail: a reason is required for cancellations and price changes, and these actions are recorded in the audit log.
- Staff sign-in: the PIN is stored with one-way encryption; five wrong attempts lock the account for five minutes.
- Updates: the server side updates automatically, Genu Desktop updates automatically; the subscription covers all updates with no separate license or update fee.
Comparing total cost the right way
Fill in the same three-year table for both models and use only the figures in each quote; do not add guesses or invented prices.
| Item (3 years) | Subscription | Licensed program |
|---|---|---|
| Software | Yearly subscription x 3 | License fee (once) |
| Updates and regulatory compliance | 0 if included in the subscription | Yearly update fee or service visit |
| Support | Note what the package includes | Yearly support contract or hourly service |
| Hardware | Does it run on devices you already own | Cashier computer, replacement, backup disk |
| Backups | Server-side at the provider | Backup disk or service, your responsibility |
| Setup and migration | Is it listed separately in the quote | Setup, remote access, migration when you change computers |
| New branch or extra device | Check the plan scope | Extra license fee |
Genu Pro (POS, cashier, kitchen display and offline cashier) is $799 per year, VAT included; the subscription covers all updates with no separate license or update fee. Multiply by 3 for a three-year total and compare it against the other quote on the same terms. See the pricing page for current plans and prices.
8 questions to ask before you buy
This list works for any model and any vendor:
- 1. Where does my data live (country, data center, provider), and is there a written policy?
- 2. Who takes the backup, how often, and where is it kept?
- 3. Which of my data can I export, in which format (Excel, CSV)? Which can't I export?
- 4. What happens to my data when the contract or service ends, and is it in writing?
- 5. When the internet drops, can I still take new orders, payments and close bills? Can I test it?
- 6. Are updates and regulatory changes included, or charged separately?
- 7. What is my three-year total cost (software, hardware, support, backup, setup)?
- 8. Is there a free trial, and can I try it with my own data and printer?
A short note on Genu
Genu's 30-day free trial requires no credit card. During the trial you can test export (Excel/CSV) and the cashier working without internet in your own venue.
Frequently asked questions
Is a cloud POS safe?
Safety varies by provider; look at where the data lives, whether transmission is encrypted, the backup policy and the written privacy text. At Genu, data is held at a SOC 2 Type II certified infrastructure provider in a European Union (Ireland) data center, transmission uses TLS, card numbers and CVV are not stored, staff PINs are stored with one-way encryption, and cancellations and price changes go to the audit log.
Will I lose my data in a cloud system?
In the cloud the records are not tied to the cashier computer's disk; if the computer breaks or is stolen, the data stays in the cloud. At Genu a daily automatic database backup is taken server-side. Ask every provider who takes the backup, how often and where it is kept; with a local licensed program the same question applies to your own backups.
What happens to my data if the software company closes?
The risk exists in both models. If a licensed program's vendor closes, the program runs but updates, support and regulatory compliance stop; if a cloud provider closes, the service stops. The protection is exporting your data regularly and asking the vendor up front: which data in which format, where does it live, what happens when the contract ends? At Genu this is in writing: if the service is discontinued entirely you get at least 90 days' notice and export your data as Excel and CSV during that period; if your subscription ends, the export pages stay open for 30 days.
Is a subscription or a licensed POS cheaper?
In year one a license usually costs more and a subscription less; over three to five years the result depends on update, support, hardware, backup and setup items. The right method is to compare both quotes over three years with the same items. The table on this page is made for that.
What is a cloud POS?
A cloud POS keeps the software and data on the provider's servers on the internet, and you connect through a browser or app. It needs no installation, offers access from anywhere, and the provider handles updates. Genu is cloud-based; on the Pro plan Genu Desktop on the cashier keeps selling when the internet is down.
Can I export my data?
Yes, within specific scopes. At Genu products export to Excel and import in bulk from Excel; the accounting export (Pro) gives sales, bill details, expenses and ledger movements as Excel (.xlsx) and CSV in a format your accountant can import; audit logs export as CSV and timesheets as Excel. If your subscription ends, these pages stay open for another 30 days. When asking any other provider, ask for the scope item by item.
Does a cloud POS work when the internet is down?
In browser-only cloud programs sales are affected. In a hybrid program with an app on the cashier, the cashier continues locally. Genu Desktop (Pro) handles new orders, payments, split payments, closing bills, holding bills and end of day locally when the internet drops; transactions sync to the cloud in order, each exactly once, when the connection returns. During an outage, orders are entered at the cashier.
How much does Genu cost, and are updates charged?
Genu Pro is $799 per year, VAT included. The subscription covers all updates; there is no separate license or update fee. The 30-day free trial requires no credit card.
Test the export and an outage yourself
Genu's 30-day free trial requires no credit card. Upload your menu, try the Excel/CSV export, and see how the cashier behaves when the internet drops in your own venue.
