What Is a Restaurant POS System and How Does It Work? (2026 Guide)

POS stands for 'point of sale'. A restaurant POS system is the whole of software and hardware that manages the sales flow in a restaurant, from taking an order to closing the bill, from the ticket sent to the kitchen to the end-of-day report. In Turkey the same job is also called 'adisyon software' (bill software), 'till software' and 'restaurant automation'; in everyday speech the three largely mean the same thing.

What exactly does a restaurant POS system do?

A POS system holds the open bills at the tables, routes the order to the right station, records the payment and closes the revenue and the till at the end of the day. In other words it is one record that replaces the paper bill book, the kitchen order slip and the calculator at the till. Set up properly, the same record does three jobs: the waiter writes the order, the kitchen sees what to cook and the cashier cuts the bill.

The hardware list is shorter than you think

A modern POS does not require a special 'POS machine'. In Genu the cashier app runs on an existing Windows computer (or in a browser), the waiter screen on a phone, and the kitchen display on a tablet or monitor; only a receipt printer needs an ESC/POS thermal printer. Ask in writing, for every product, which hardware is mandatory.

How an order flows from table to end-of-day

  • 1. The order is taken: the waiter enters it from the phone, or the customer from the QR menu. On a QR order, waiting for waiter or manager approval before reaching the kitchen prevents wrong and prank orders.
  • 2. The order goes to the station: after approval the items land on the kitchen and bar screens and a kitchen ticket prints on the relevant printer. Each station sees only its own products.
  • 3. Preparation is tracked: the timer and delay alert on the kitchen display show how long the order has waited; when ready, the waiter is told.
  • 4. The table runs: extra orders are added to the same bill, the table can be moved or merged, and the customer asks for the bill.
  • 5. The bill is cut: the cashier collects with cash, card, meal card or customer account; the bill can be split equally, by item or by a free amount. Discounts and comps are recorded. A card payment is taken on the venue's own bank POS device and Genu records the payment method; bank-POS integration is on the roadmap.
  • 6. The day closes: the Z report gives sales, cancellations with their reasons, the payment-method breakdown and the cash count; the till handover passes to the next shift.

In this flow, the record of who performed risky operations such as cancellations and discounts, when and for what reason, is one of the most important functions of a POS. In Genu a reason is mandatory for a cancellation and the action is written to the audit log.

Cloud, local and hybrid: what is the difference?

  • Real time: all surfaces are connected to the same cloud database and update instantly; an order sent by the waiter reaches the kitchen display without delay.
  • Printer layer: Genu Desktop keeps receipt jobs in a local queue and prints to ESC/POS thermal printers over USB, network or the Windows print queue. Unprinted jobs are not lost even if the computer restarts.
  • Outage resilience: when the internet drops, the cashier in Genu Desktop keeps taking new orders, payments and closing bills, and receipts print. When the connection returns, the sales taken during the outage are processed to the cloud once; the server does not process the same record twice. Detail: offline cashier.
  • Outage record: outage windows are written into the end-of-day report.
  • Permissions and audit: staff sign in with a PIN, roles are separate; a reason is mandatory for cancellations and actions are written to the audit log.
  • AI: the owner's management panel offers an approval-card AI assistant and an MCP connection; the assistant makes no change without your approval.
  • Multi-branch: in Enterprise and Chain plans the HQ panel gathers all branches in a single view.

Genu Desktop, needed for the cashier to work offline, runs on Windows only; the cashier can also be opened in a browser. The waiter and manager screens are in the phone browser. Cash-register (ÖKC) and delivery-platform integrations are on the roadmap.

Six questions to ask the POS in a demo

  • Pull the till computer's internet: do new orders, payment and bill closing continue? When the connection returns, are the records processed once?
  • Place an order: does the kitchen ticket come out at the right station, on the right printer, with Turkish characters?
  • Have two waiters open the same table: how is the conflict resolved?
  • Cancel a product: is a reason asked, who holds the record, where does it appear?
  • Split the bill equally, by item and by a free amount: does the total balance at end of day?
  • Take the end-of-day report: do cancellations, payment methods and the cash count appear separately?

In everyday speech, largely yes. An adisyon is the open bill at a table; adisyon software is the software that holds these bills. POS (point of sale) is a broader term that also covers the bill, cashier, payment and often the kitchen and stock flow.

What hardware does a restaurant POS need?

It varies by product; some ask for specific terminals, others work with existing devices. In Genu the cashier app runs on an existing Windows computer or in a browser, the waiter screen on a phone and the kitchen display on a tablet or monitor; the receipt printer needs an ESC/POS thermal printer. Ask the vendor in writing which hardware is mandatory.

Is cloud POS or local POS better?

Both have strengths: cloud gives easy setup, automatic updates and remote access; a local setup gives offline operation naturally. A hybrid architecture aims to combine the two. Does the POS keep working if the internet goes down?

It depends on the product; some show only open bills, others also keep new orders and payment going.
